Event attendee data

In certain projects, we may manage, on behalf of our clients, attendee data needed to organise the event, such as identification, contact, registration and accreditation data or information needed to provide certain services.

When it is necessary to manage information relating to allergies, food intolerances, accessibility needs or other data that may be considered special categories of data, only the essential data will be collected, with the specific authorisation required in each case.

3. How we use data

Personal data may be used for the following purposes:

Enquiries and contact

To manage and respond to enquiries received through our website, email or other contact channels.

Data provided through the contact form will be used solely to respond to the enquiry, prepare a quotation where appropriate and manage the subsequent relationship if services are contracted.

Proposals and quotations

To assess requests and prepare proposals, quotations and documents relating to potential projects or services.

If no service is ultimately contracted, the data will be deleted when no longer needed to handle the enquiry, unless a legal obligation requires their retention.

Providing services to clients

To manage, coordinate and perform the services contracted by our clients, including the planning, production and organisation of events and communication projects.

Administrative management

To manage contracts, quotations, orders, billing and the administrative, tax and legal obligations related to our activities.

Supplier relationships

To manage requests for quotations, the contracting of services and professional coordination with suppliers needed for our activities.

D EVENTS PLATFORM SCP does not use data collected through the website to send newsletters, advertising or unsolicited commercial communications.

We also do not sell or disclose personal data to third parties for commercial purposes.

Data will not be used for purposes other than those for which they were collected, unless there is a legal obligation or valid authorisation from the data subject.

4. Forms and event attendee data

D EVENTS PLATFORM SCP organises and manages events on behalf of its clients.

When a client provides us with attendee lists or commissions us to create and manage a registration form, the client is generally the controller of those data and D EVENTS PLATFORM SCP acts as processor, following the client’s instructions.

In such cases, the client determines what data must be collected, for what purpose and for how long they must be processed.

D EVENTS PLATFORM SCP will use those data exclusively for the tasks needed to organise and carry out the contracted event.

Where appropriate, registration forms will provide specific data protection information applicable to the event. That specific information will prevail over this policy in all matters relating to that particular processing.

Attendee data may come directly from the individuals concerned through registration forms or be provided by the client responsible for the event.

Once the event has ended and been closed, the data may be delivered to the client upon request.

When the client no longer needs to retain the data and they are no longer necessary for managing the event, D EVENTS PLATFORM SCP will delete them, unless a legal retention obligation applies or the client acting as controller gives different instructions.

5. Legal basis for processing data

The legal basis depends on each processing activity.

For enquiries received through our contact channels, processing may be based on the data subject’s consent and, when the request relates to the potential contracting of our services, on taking pre-contractual steps at that person’s request.

Where there is a contractual relationship, processing will be necessary to perform the contract and provide the agreed services.

Certain processing related to administrative, accounting or tax obligations will be carried out to comply with applicable legal obligations.

Professional data of contact persons at clients, suppliers and companies with which we have a professional relationship may be processed on the basis of our legitimate interest in managing that relationship, within the limits established by applicable law.

For events in which we act as processor, the client acting as controller will determine the applicable legal basis.

When it is necessary to process special categories of data, such as certain information concerning health, allergies or accessibility needs, the specific safeguards and conditions required by law will also apply and, where appropriate, the data subject’s express authorisation will be requested.

6. How long we retain data

Data will be retained only for as long as necessary to fulfil the purpose for which they were collected.

Data associated with a contractual relationship will be retained for the duration of that relationship and subsequently for the periods needed to address potential liabilities and comply with legal obligations.

Data relating to enquiries or quotations that do not lead to a contract will be deleted once the request has been closed and retention is no longer necessary.

Attendee data managed on a client’s behalf will be retained for the time needed to organise, carry out and close the event and subsequently in accordance with the client’s instructions and applicable legal obligations.

7. Data recipients

D EVENTS PLATFORM SCP does not sell or trade personal data.

To provide our services, we may use technology providers that supply web hosting, forms, information storage, email, IT support or other services needed for our activities.

When these providers process personal data on behalf of D EVENTS PLATFORM SCP, they will act as processors and be subject to the relevant data protection obligations.

We may also disclose information where necessary to professional advisers for the management of tax, accounting or legal obligations.

Data may be disclosed to public administrations, courts, authorities or competent bodies where required by a legal obligation.

8. International data transfers

Some technology providers used in our activities may operate internationally.

Where processing involves an international transfer of personal data outside the European Economic Area, the safeguards required by the General Data Protection Regulation and the legislation in force at the time will apply.

9. Automated decisions and profiling

D EVENTS PLATFORM SCP does not make decisions based solely on automated processing that produce legal effects or similarly significantly affect individuals.

Nor do we profile website users for advertising or commercial purposes.

10. Information security

D EVENTS PLATFORM SCP applies technical and organisational measures designed to protect personal data against unauthorised access, loss, alteration, destruction or improper disclosure.

These measures are adapted to the nature of the data processed, the context of processing and the associated risks.

Individuals who provide personal data are responsible for ensuring that the information supplied is truthful, accurate and up to date.

11. Rights of data subjects

Data subjects may exercise the rights recognised by data protection law and, where applicable:

  • Access their personal data.
  • Request the rectification of inaccurate or incomplete data.
  • Request the erasure of their data.
  • Request restriction of processing.
  • Object to processing.
  • Request data portability.
  • Withdraw previously given consent, without affecting the lawfulness of processing carried out before withdrawal.

To exercise these rights, you may send a request to: info@eventsplatform.net

The request must enable the applicant to be identified and specify the right they wish to exercise.

Only where there are reasonable doubts about the identity of the person making the request may we request additional information necessary to verify it.

Requests will be handled within the legally established time limits.

If you believe that the processing of your personal data does not comply with the law, you may lodge a complaint with the Spanish Data Protection Agency (AEPD) at: www.aepd.es
